AI for Georgia is an organisation engaged in the planning, organisation, promotion, and delivery of professional, public, and industry-focused events relating to artificial intelligence, technology, innovation, and associated sectors.
Our activities include, but are not limited to, the operation of digital platforms and online content, the promotion and marketing of Events, registration and ticketing services, coordination of speakers, exhibitors, sponsors, and partners, on-site and virtual Event operations, access management, and post-Event communications and reporting.
AI for Georgia may organise Events independently or in collaboration with partners, sponsors, venues, or other third parties. References to AI for Georgia in these Terms include, where applicable, such partners and authorised representatives involved in the delivery of Events.
Nothing in these Terms shall be construed as creating any partnership, agency, or joint venture relationship between AI for Georgia and any Participant, unless expressly agreed in writing.
3. Scope and Applicability of These Terms
These Terms apply to and govern:
- all access to and use of the Website and any related digital platforms operated by or on behalf of AI for Georgia;
- all participation in Events organised, hosted, co-hosted, or promoted by AI for Georgia, regardless of the Participant's role, status, or ticket type;
- all interactions, communications, and transactions between you and AI for Georgia, whether conducted online, in person, or through third-party platforms authorised by AI for Georgia.
These Terms apply equally to individuals and legal entities and are binding on all Participants, including attendees, ticket holders, speakers, moderators, sponsors, exhibitors, partners, contractors, and visitors.
Additional policies, notices, and documents published or referenced by AI for Georgia from time to time including, without limitation, the Privacy Policy, Cookies Notice, Event-specific terms, venue rules, and codes of conduct form an integral part of these Terms and shall be read and interpreted together with them.
In the event of any conflict between these Terms and any Event-specific terms, the Event- specific terms shall prevail to the extent of the inconsistency.
4. Website Access and Availability
The Website is provided on an "as available" and "as is" basis. While AI for Georgia uses reasonable efforts to ensure that the Website is accurate, secure, and accessible, we do not guarantee that access to the Website will be uninterrupted, timely, secure, or free from errors or omissions.

7. Registration Process
Participation in Events may be subject to prior registration, application approval, or invitation, depending on the nature of the Event, the Participant category, or capacity limitations.
When registering for an Event, you represent and warrant that all information provided during the registration process is true, accurate, complete, and current, and you agree to promptly update such information if it changes.
AI for Georgia reserves the right, at its sole discretion, to:
- accept, reject, or cancel any registration or application;
- request additional information or documentation to verify eligibility;
- impose limits on the number of Participants or registrations;
- cancel or suspend registrations where information provided is false, misleading, incomplete, or inaccurate.
Registration for an Event does not guarantee admission, participation, or access unless and until confirmed by AI for Georgia in accordance with applicable Event requirements and these Terms.
8. Tickets and Admission Rights
8.1 Ticket Issuance
Tickets are issued electronically unless otherwise specified and must be presented upon entry.
8.2 Ticket Restrictions
Unless expressly permitted:
- tickets are personal and non-transferable;
- resale or commercial use is prohibited;
- copying or misuse of tickets is not permitted.
8.3 Identification
AI for Georgia may require valid identification to verify ticket ownership.
9. Pricing, Taxes, and Fees
All prices for Events, tickets, products, or services are displayed at the time of purchase and are subject to change prior to completion of the transaction. Prices may be listed inclusive or exclusive of applicable taxes, duties, or levies, depending on the nature of the Event, the type of ticket, and applicable legal requirements.
Where taxes or similar charges apply, these will be calculated and displayed during the checkout process or otherwise clearly communicated prior to payment confirmation, in accordance with applicable law.
Additional fees may apply in connection with a purchase, including but not limited to transaction fees, processing fees, service charges, or fees imposed by third-party payment providers. Any such fees will be disclosed to you before the payment is completed.

AI for Georgia does not collect or store full payment card details. Payment information is handled directly by the applicable payment provider using secure payment processing systems.
AI for Georgia shall not be liable for:
- technical errors, interruptions, or outages affecting payment providers;
- failed, delayed, or incomplete payment transactions caused by third-party systems;
- unauthorised charges or issues arising from your payment method or financial institution.
AI for Georgia reserves the right, at its sole discretion, to cancel, suspend, or invalidate any registration or ticket where:
- payment is not successfully completed;
- payment is reversed, charged back, or disputed;
- there is reasonable suspicion of fraud, misuse, or unauthorised activity.
In such cases, access to the Event may be denied without further obligation on the part of AI for Georgia, subject to applicable law.
11. Participant-Initiated Cancellations and Changes
Unless expressly stated otherwise in writing by AI for Georgia or in Event-specific terms:
- all tickets are non-refundable;
- failure to attend an Event, for any reason, does not entitle the Participant to a refund, credit, or compensation;
- tickets may not be exchanged or transferred, except where expressly permitted by AI for Georgia.
AI for Georgia may, at its discretion, allow name changes, substitutions, or other modifications to registrations, subject to:
- applicable deadlines communicated in advance;
- verification of the substitute Participant;
- payment of any applicable administrative or processing fees.
AI for Georgia reserves the right to refuse changes or substitutions where they would breach capacity limits, security requirements, legal obligations, or Event policies.
Participants are responsible for reviewing Event details carefully prior to purchase and for ensuring their availability to attend before completing a registration.
12. Event Cancellation, Postponement, or Material Changes
AI for Georgia reserves the right, at its sole discretion, to cancel, postpone, reschedule, or make material changes to an Event where this is necessary due to circumstances beyond reasonable control, public health or safety considerations, legal or regulatory requirements, venue restrictions, or operational or commercial necessity.
Material changes may include, without limitation, changes to the Event date, venue, format (including conversion to a virtual or hybrid Event), programme content, speakers, or schedule.
In the event of cancellation, postponement, or material change, AI for Georgia may, at its discretion and subject to applicable law, offer one of the following remedies:
- a refund of the ticket price paid;
- a credit or voucher for a future Event organised by AI for Georgia;
- access to a rescheduled Event or an alternative Event format.
The choice of remedy shall be determined by AI for Georgia, and no additional compensation shall be payable.
To the fullest extent permitted by applicable law, AI for Georgia shall not be liable for any indirect or consequential losses arising from the cancellation, postponement, or material change of an Event, including but not limited to travel costs, accommodation expenses, loss of income, or other related costs incurred by
13. Admission, Safety, and Conduct
All Participants attending an Event must comply at all times with:
- applicable venue rules and regulations;
- all health, safety, and security requirements communicated by AI for Georgia, the venue, or relevant authorities;
- all applicable local, national, and international laws and regulations.
Participants are expected to conduct themselves in a professional, respectful, and lawful manner. Conduct that is disruptive, unsafe, abusive, discriminatory, offensive, or otherwise inappropriate will not be tolerated.
AI for Georgia reserves the right, at its sole discretion, to:
- deny admission to any Participant;
- remove any Participant from an Event or venue;
- restrict access to specific areas or activities;
- take other reasonable measures to protect the safety, security, and integrity of the Event.
Such action may be taken where a Participant's conduct is deemed to pose a risk to health or safety, interfere with the enjoyment of the Event by others, violate these Terms or Event policies, or breach applicable laws or venue requirements.
Any removal or denial of access under this section shall be without refund or compensation, to the extent permitted by applicable law. AI for Georgia shall not be liable for any losses or damages arising from such action.
14. Photography, Filming, and Media Use
Events may be photographed, filmed, or otherwise recorded by AI for Georgia or authorised third parties.
By attending an Event, you grant AI for Georgia an irrevocable, worldwide, royalty-free right to record, reproduce, distribute, display, and otherwise use your image, voice, likeness, and any statements made, in any media now known or later developed, for promotional, reporting, archival, and commercial purposes, without compensation.
You waive any rights of inspection, approval, or claims related to such use.
15. Intellectual Property – Website and Events
All intellectual property rights in and to the Website and all Content made available through the Website or at Events, including but not limited to text, graphics, logos, branding, designs, audio-visual materials, recordings, software, and documentation, are owned by or licensed to AI for Georgia and are protected by applicable intellectual property laws.
Except where expressly permitted by law or agreed in writing, no Content may be copied, reproduced, modified, distributed, transmitted, displayed, published, licensed, or otherwise exploited for commercial or public purposes without the prior written consent of AI for Georgia or the relevant rights holder.
Nothing in these Terms grants you any ownership rights in the Content or any licence other than the limited right to access and use the Website and Event materials for personal, non- commercial purposes in accordance with these Terms.
16. Speaker and Participant Content
Where Participants, including speakers, moderators, or exhibitors, submit, present, or otherwise provide content in connection with an Event (including presentations, materials, recordings, statements, or contributions), they grant AI for Georgia a non-exclusive, worldwide, royalty-free, and irrevocable licence to use, reproduce, record, distribute, display, adapt, and make such content available for Event-related, promotional, reporting, archival, and educational purposes.
Participants represent and warrant that they own or have obtained all necessary rights, permissions, and consents to provide such content and to grant the licence described above, and that the content does not infringe any intellectual property, privacy, confidentiality, or other rights of third parties.
AI for Georgia reserves the right to remove or refuse content that, in its reasonable opinion, violates these Terms or applicable laws.
17. Third-Party Services and Links
The Website or Events may include references to, integrations with, or links to third-party websites, platforms, tools, or services. Such third-party services are provided for convenience only.
AI for Georgia does not control, endorse, or assume responsibility for the content, availability, security, policies, or practices of third parties. AI for Georgia Events may be attended by Participants from multiple jurisdictions. Participants attending from outside Georgia are solely responsible for ensuring compliance with all applicable immigration, visa, travel, customs, insurance, health, and entry requirements relating to their participation.
AI for Georgia does not provide visa, travel, or immigration advice and makes no representations or guarantees regarding eligibility to enter Georgia or any other country, or regarding the issuance of visas or travel authorisations.
Participants acknowledge that failure to obtain necessary documentation or authorisations shall not entitle them to a refund or compensation, to the extent permitted by applicable law.
19. Disclaimer of Warranties
To the fullest extent permitted by applicable law, the Website, Events, and all related services and Content are provided on an "as is" and "as available" basis.
AI for Georgia makes no representations or warranties of any kind, whether express, implied, statutory, or otherwise, including but not limited to warranties relating to:
- the accuracy, completeness, reliability, or timeliness of the Website or Content;
- the availability, continuity, or uninterrupted operation of the Website or Events;
- the suitability of Events, services, or Content for any particular purpose;
- the absence of errors, defects, viruses, or other harmful components.
Participants acknowledge that participation in Events and use of the Website is at their own risk, to the extent permitted by law.
20. Limitation of Liability
To the maximum extent permitted by applicable law:
- AI for Georgia shall not be liable for any indirect, incidental, special, consequential, or punitive losses or damages, including but not limited to loss of profits, loss of business, loss of data, or reputational harm;
- AI for Georgia shall not be liable for any loss, damage, or theft of personal property occurring in connection with an Event or use of the Website;
- AI for Georgia's total aggregate liability for any claim arising out of or in connection with these Terms, an Event, or use of the Website shall not exceed the total amount paid by the Participant for the relevant ticket or service giving rise to the claim.
Nothing in these Terms shall exclude or limit liability that cannot be excluded or limited under applicable law, including liability for death or personal injury caused by negligence, where such limitation is prohibited.
21. Force Majeure
AI for Georgia shall not be liable for any failure or delay in the performance of its obligations under these Terms where such failure or delay results from events or circumstances beyond its reasonable control.
Such events may include, without limitation, natural disasters, acts of government or public authorities, war, terrorism, civil unrest, pandemics or public health emergencies, labour disputes, power or internet outages, technical failures, or venue unavailability.
Where a force majeure event occurs, AI for Georgia shall be entitled to take reasonable measures to mitigate its effects, including rescheduling, modifying, or cancelling an Event in accordance with these Terms.
22. Governing Law
These Terms and any dispute or claim arising out of or in connection with them shall be governed by and construed in accordance with the laws of Georgia, without prejudice to any mandatory consumer protection or data protection provisions applicable under international law.
23. Dispute Resolution
23.1 Good-Faith Negotiation
The parties shall first attempt to resolve any dispute, controversy, or claim arising out of or in connection with these Terms through good-faith negotiations.
23.2 Alternative Dispute Resolution
If the dispute is not resolved through negotiation, the parties may agree to submit the dispute to mediation or arbitration under recognised international dispute resolution rules, prior to commencing court proceedings.
23.3 Jurisdiction
Where alternative dispute resolution is not agreed, not applicable, or fails to resolve the dispute, the dispute shall fall under the exclusive jurisdiction of the courts of Tbilisi, Georgia, to the extent permitted by applicable law.
